Privacy Policy
Last updated: 6 October 2026
Idea Notes is made by SoftX LLC. This policy explains what the web app and the mobile app collect, why, who else sees it, and how to get it deleted. It covers ideanote.space and the Idea Notes apps for iOS and Android.
What we collect
Only what the app needs to work:
- Your account. Email address, and your name if you give one. If you sign in with Google or Apple, we receive your email address and name from them — never your password. Apple lets you hide your address, and we work fine with the relay address.
- What you write. Your notes and their titles, colours, edit history, reminders, and the clusters and tags the app derives from them.
- Settings. Theme, layout, and notification preferences, and your answer to the AI permission screen.
- Payments. If you subscribe, Stripe handles the card and tells us your plan and its status. We never see your card number.
- Technical records. Our servers keep short-lived logs (IP address, timestamps, errors) to keep the service running and secure.
We do not use advertising identifiers, we do not track you across other apps and websites, and we do not sell your data.
AI features: your notes go to AI providers, with your permission
Idea Notes is built around AI. Before you can use it, the app asks your permission to send the text of your notes to trusted third-party AI providers. Until you agree, nothing of yours is sent, and the app cannot be used.
These providers use your notes only to summarise, tag and group them, suggest reminders and power search. They never store your notes and never use them to train AI models. This is enforced on every request: we only allow providers with a zero-data-retention, no-training policy.
The providers involved are:
- OpenRouter, which passes each request to an AI provider that meets the rules above.
- Groq, which runs the language model that writes summaries, tags, group names and reminder suggestions. If Groq is unavailable, OpenRouter may use another AI provider that meets the same rules.
- Microsoft Azure, which runs OpenAI’s embedding model to turn notes into the numbers (embeddings) that let the app search by meaning and group related notes.
Before any text leaves our servers, we replace the personal details we can recognise with placeholders: email addresses, phone numbers, payment card numbers, bank account numbers (IBANs), IP addresses, national identity card numbers, and links that carry passwords or access tokens. We put them back when the result returns, so you see your own words. Other details in your writing, such as names, are sent as you wrote them, so keep sensitive information out of your notes.
We never sell your notes and never use them to train AI models ourselves.
There is no way to use Idea Notes with AI processing switched off. To stop it completely, delete your account. Deleting a note removes it, and everything AI produced from it, for good.
Who else processes your data
- OpenRouter, Groq and Microsoft Azure — the AI features, as described above.
- Clerk — accounts and sign-in.
- Convex — the database holding your notes.
- Stripe — subscription payments.
- Contabo — the servers hosting the website.
They act on our instructions under their own security and privacy terms. We also disclose data if the law requires it. If the business is ever sold or merged, your data may transfer with it, and this policy continues to apply until we tell you otherwise.
Where your data is held
Our providers run in the United States and Europe, so your data is processed outside your own country. Transfers out of the UK, the EEA and Switzerland rely on the European Commission’s standard contractual clauses.
How long we keep it
Your notes stay until you delete them or delete your account. Deleting a note moves it to Trash; emptying Trash removes it for good, with its versions, reminders and everything AI produced from it. Deleting your account removes your notes, clusters, reminders, derived data and your answer to the AI permission screen from our database, and your account from Clerk. Backups and server logs age out within 30 days. We may keep payment records for as long as tax law requires.
Deleting your account
In the app, open Settings → Delete account. On the web, open Settings and choose Delete account. If you did not agree to AI processing, the permission screen offers it too. It is permanent and takes effect straight away. You can also email support@ideanote.space and we will do it for you. Full instructions, including how to delete individual notes, are on the account deletion page.
Your rights
Depending on where you live, you can ask for a copy of your data, have it corrected or deleted, object to or restrict how we use it, and take it elsewhere. Most of this you can do yourself in the app; for anything else, email support@ideanote.space and we will reply within 30 days. You may also complain to your data protection authority.
Children
Idea Notes is not for children under 13, and we do not knowingly collect their data. If you believe a child has created an account, email us and we will delete it.
Security
Data is encrypted in transit and at rest, and access is limited to the people who need it to run the service. No service can promise perfect security, but if a breach ever affects your data we will tell you and the relevant authority as the law requires.
Changes
If we change this policy we will update the date above, and tell you in the app or by email when the change is significant.
